Chair’s Welcome – AGM
Welcome to the Annual General Meeting of East Winch Village Hall and thank you all for attending.
As many of you know, the current committee members are relatively new to their roles, and over the past year we have been working hard to ensure the hall continues to run effectively for the benefit of the community. It has taken some time to establish and organise the necessary processes and systems, some of which had not been maintained as well as they could have been previously.
However, the committee has been committed to addressing these areas and putting the right procedures in place to ensure the hall is managed properly and sustainably going forward.
Our aim is to continue improving the hall as a valuable community space, supporting local groups, events and activities that bring people together. We are all committed to working collaboratively to ensure the hall continues to operate successfully and remains an important part of village life.
Thank you to everyone who supports the hall, whether through volunteering, attending events, hiring the hall, or simply being part of the community.
We look forward to building on the progress made so far and continuing to improve the hall for everyone in East Winch.

Trustees’ Annual Report – AGM
During the past year the Village Hall has continued to serve as an important meeting place for the East Winch community, hosting a variety of regular activities, private hires and community events.
Income
Total income for the year was £8,673. The majority of this income was generated through hall hire, which remains a key source of revenue for the hall. In addition, we have successfully introduced regular markets in the hall, which have been well supported by both stallholders and visitors. These markets have become a valuable addition to our programme of events and an important contributor to income.
Expenditure
Total expenditure for the year was £10,357. As in previous years, the majority of our spending related to the ongoing running costs of the hall, including utilities, general supplies, and routine maintenance.
During the year we also undertook significant maintenance work, most notably the redecoration of the hall. This work was carried out to maintain and improve the appearance of the building and to ensure it remains a welcoming and well-maintained space for all users.
Summary
Overall, expenditure exceeded income this year, reflecting the necessary investment made in maintaining the hall. The committee believes these improvements are important to ensure the hall remains an attractive and functional facility for the community.
With newly implemented marketing for the hall, we expect awareness of the venue and its facilities to grow. We anticipate this will encourage increased bookings and wider use of the hall, and therefore predict that income will continue to increase over the coming year.
The trustees would like to thank all those who support the hall, including our regular hirers, market organisers, volunteers and committee members, whose efforts help keep the hall running for the benefit of the village.
We look forward to another year of community activities and continued use of the hall by residents and local groups.

Marketing Report – AGM
Over the past year we have taken several steps to improve the marketing and visibility of the Village Hall and the activities that take place within it.
One of the key developments has been the introduction of new Facebook and Instagram pages for the hall. These platforms have helped to raise the profile of the hall within the local community and beyond. As a result, we are now receiving regular enquiries through social media, both for hall hire and for events, which demonstrates the value of maintaining an online presence.
We have also worked to promote the regular markets held at the hall. Banners have been produced to increase visibility locally and help attract visitors. Alongside this, events held at the hall are promoted through social media and other local channels, helping to increase awareness and attendance.
Where information is available, we aim to actively promote activities and events taking place at the hall. However, some regular hirers have not supplied marketing material or details about their activities, which makes it more difficult to advertise and support their sessions. If more information and promotional material were provided, we would be able to help promote these activities more effectively and further raise awareness of what the hall offers.
Overall, the introduction of improved marketing and social media presence has already had a positive impact on the visibility of the hall, and we expect this to continue supporting increased use of the hall over the coming year.

Hall Hire and Activities Report – AGM
Over the past year the Village Hall has continued to be well used by a variety of groups and activities, supporting both social and community wellbeing within the village.
We are pleased to welcome new groups to the hall, including Powerhoop fitness sessions, and we will soon be introducing Chair Yoga, which we hope will be particularly beneficial for those looking for gentle exercise and social interaction.
A regular art and craft workshop is now running at the hall, offering a creative space for local residents. We hope this group will continue to grow and be well supported by the community.
Our new coffee morning has also been a positive addition to the hall’s activities. These sessions have been well attended and have welcomed visits and participation from organisations such as the local council, Community Action Norfolk (CAN), and upcoming sessions will also involve the RSPCA. These gatherings provide a valuable opportunity for residents to meet, share information, and access support services.
Overall, the range of activities taking place at the hall continues to expand, helping to strengthen community connections and make the hall a welcoming and active hub for East Winch. We hope these groups and events will continue to grow and thrive in the coming year.

Maintenance Report – AGM
Over the past year a number of maintenance and improvement works have been carried out to ensure the Village Hall remains a welcoming and well-maintained facility for the community.
The hall has been fully redecorated, helping to refresh the interior and improve the overall appearance of the space for regular users, events and visitors.
We have also installed new flooring in the bar area, which has improved both the look and durability of this section of the hall. Plans are in place for new flooring in the kitchen area, which will further improve the facilities available for hirers and events.
In addition, we are expecting new heating to be installed very soon, which will improve comfort within the building and help ensure the hall remains suitable for use throughout the year.
Looking ahead, the main hall floor will require sanding, filling and re-varnishing to maintain its condition and extend its lifespan. We are currently seeking quotes for this work and will review options once these have been received.
These improvements and planned works are part of our ongoing commitment to maintaining the hall as a safe, functional and attractive space for the East Winch community.

Volunteers Report – AGM
Volunteers continue to play an important role in supporting the activities and events that take place at the Village Hall. Their time and effort help ensure events run smoothly and that the hall remains an active and welcoming space for the community.
We are always keen to welcome new volunteers to help with a variety of tasks, particularly during events and community activities held at the hall. Even a small amount of time can make a big difference.
